ReplyRabbit vs ChatGPT for customer support
Plenty of support teams already use ChatGPT: paste the customer's email in, ask for a reply, paste the answer back. It works, and it's where most people start. ReplyRabbit does the same job inside FreeScout without the copying, with your company context applied every time, and with the draft saved where the agent replies. ChatGPT is a general tool you operate by hand. ReplyRabbit is a support workflow that happens to use the same kind of model.

What the copy-and-paste loop costs
The problem with ChatGPT for support isn't the writing quality. It's everything around it.
- Time. Every ticket means switching tabs, pasting the thread, writing a prompt, and pasting the answer back into FreeScout. That overhead is small per ticket and large per week.
- Context. ChatGPT only knows what's in the paste. Your refund policy, product names and tone have to be retyped or kept in a saved prompt that drifts out of date.
- Consistency. Five agents write five different prompts and get five different voices.
- Data. Customer emails are being pasted into a consumer chat tool, which your data policy may not allow.
ReplyRabbit removes the loop. It reads the FreeScout conversation itself, applies the mailbox's company context and response style, and writes the draft into the reply box.
Side by side
| Question | ChatGPT (manual) | ReplyRabbit |
|---|---|---|
| Where does the draft appear? | In a chat window; you paste it back | In the FreeScout conversation, as a normal draft |
| Does it know your business? | Only what you paste each time | Company context, response style and examples set once per mailbox |
| Does it know the customer? | No | The full thread, and on Pro their orders via a store connector and their earlier replies |
| Does it use your help articles? | Only if you paste them | On Pro, drafts search your knowledge base, docs and products by meaning |
| Which model? | OpenAI's | OpenAI on Free; Anthropic, Google, OpenRouter, Z.AI and local models on Pro |
| Who pays for AI? | A ChatGPT subscription per user | Your own API key, billed by the provider per use |
| Can it run privately? | No | Yes, with Ollama or LM Studio on your server (Pro) |
What stays the same
ReplyRabbit is not a bot. Like ChatGPT, it gives you a draft, and a person decides what to send. The difference is that the draft is already in the right place, addressed to the right people, and written with your rules.
You also keep the rewrite habit. If a draft is too formal, one click makes it nicer, shorter or more direct, the same way you'd ask ChatGPT to try again, without the round trip.

When ChatGPT is still the right tool
- You handle a handful of tickets a week and the overhead doesn't add up.
- You don't use FreeScout. ReplyRabbit only runs inside it.
- You need to draft something that isn't a support reply, such as a policy page or an internal announcement.
Moving from ChatGPT to ReplyRabbit
- Take the prompt your team has been pasting into ChatGPT. The parts about your company, products and tone go into the Company Context and Response Style fields in mailbox settings. A couple of your best past replies go into Examples.
- Install the free build and connect OpenAI with your own API key. The free plan gives one mailbox 10 drafts a month, enough to compare against your ChatGPT results.
- Open a customer email. The draft is in the conversation; edit and send.
- If you want other providers, knowledge base grounding, or order data, that's the Pro plan.
Setup details are in How to set up ReplyRabbit. If you're still weighing providers, see Choosing an AI provider, and the FAQ covers who sees your data.
